1. Introduction

1.1. Agreement to Terms

These Terms and Conditions ("T&C") govern your registration, attendance, and/or participation at the Banking CEE Expo 2023 (referred to as the "Event"). By registering for the Event, you acknowledge that you have read, understood, and agree to be legally bound by these T&C. If you do not agree with any part of these T&C, please refrain from registering, attending, or participating in the Event.

1.2. Organizer Details

The Banking CEE Expo 2023 is organized by CONNECTIVA s.r.o., a company registered under the laws of the Czech Republic with company registration number 09821571, and having its registered office at Husinecká 10, 130 00, Prague, Czech Republic (referred to as the "Organizer").

1.4. Acceptance of Terms

By registering, attending, or participating in the Event, you acknowledge that you have read, understood, and accepted these T&C in their entirety. These T&C constitute a binding agreement between you and the Organizer regarding your participation in the Event.

1.5. Modification of Terms

The Organizer reserves the right to modify, amend, or update these T&C at any time without prior notice. Any changes to the T&C will be effective immediately upon posting on the Event website or other communication channels. It is your responsibility to review these T&C periodically for any updates or changes. Your continued participation in the Event after the posting of any changes constitutes your acceptance of the modified T&C.

2. General Terms for All Delegates

2.1. Registration Process

To attend the Event, all delegates must complete the registration process through the official Event website at www.bancee.eu/tickets. By registering, you agree to provide accurate and up-to-date information and consent to the collection and use of your personal data as outlined in the Event's Privacy Policy.

2.2. Eligibility and Attendance

The Event is open to delegates who meet the eligibility criteria specified for each attendee category. The Organizer reserves the right to verify the eligibility of any delegate and may request supporting documentation if necessary. The Organizer also reserves the right to refuse entry or revoke the registration of any delegate found to be in violation of these T&C or engaged in any improper conduct.

2.3. Code of Conduct

All delegates are expected to adhere to a code of conduct that promotes professionalism, respect, and inclusivity throughout the Event. Harassment, discrimination, or any form of inappropriate behavior towards other delegates, speakers, or event staff will not be tolerated and may result in immediate expulsion from the Event without refund.

2.4. Disclaimer and Limitation of Liability

While the Organizer strives to ensure a successful and engaging Event, we cannot guarantee the accuracy, completeness, or reliability of the information or content presented. The Organizer disclaims any liability for errors, omissions, or any consequences arising from the use of such information or content. In no event shall the Organizer be liable for any direct, indirect, incidental, consequential, or special damages arising out of or in connection with the Event.

2.5. Intellectual Property Rights

All intellectual property rights related to the Event, including but not limited to presentations, materials, logos, and trademarks, remain the sole property of the Organizer or their respective owners. Delegates shall not reproduce, distribute, or use any intellectual property without obtaining prior written permission from the relevant rights holder.

2.6. Photography and Recording

Delegates may be photographed or recorded during the Event for promotional and informational purposes. By attending the Event, delegates consent to the use of their image or voice in such materials.

2.7. Event Changes and Cancellation
2.7.1. Event Changes

The Organizer strives to ensure the accuracy of the Event programs, speakers, topics, venues, and dates at the time of publishing. However, the Organizer reserves the right to make substitutions, alterations, postponements, or cancellations to the content, format, themes, names, performers, hosts, moderators, venue, timing, or dates of the Event. The Organizer may exercise this right at any time without incurring any liability for costs you may have incurred, including travel, accommodation, and other related expenses. In the event of any changes, the Organizer will make reasonable efforts to notify you as soon as reasonably practicable. Such notifications will be posted on the Event website homepage or communicated through other appropriate channels. If the Event is postponed, the Organizer will provide you with a substitute ticket for the rescheduled date. No refunds will be provided for postponed events.

2.7.2. Event Cancellation

In the unlikely event of the cancellation of the Event, the Organizer's liability to you is limited to the refund of any paid fees remaining after deduction of credit card and payment processing fees. The Organizer will not be responsible for any other expenditure, damage, or loss incurred as a result of the cancellation.

2.6. Data Protection and Privacy

The Organizer is committed to protecting your personal data in accordance with applicable data protection laws. By participating in the Event, you consent to the collection, processing, and storage of your personal data as outlined in the Event's Privacy Policy, which can be found at https://www.connectiva-cee.com/privacy-policy. The Organizer will only use your personal data for Event-related purposes and will not share it with third parties without your consent, except as required by law.

3. Attendee Terms

3.1 Bankers/Regulators/Merchants
 

The Bankers/Regulators/Merchantsticket category is only applicable to attendees who work at a bank, regulating body, or a merchant company. The Organizer reserves the right to request proof of employment to ensure that the attendee has purchased the correct ticket. If it is found that the attendee does not meet the crietria, the ticket amount will be refunded in full, and the attendee will be referred to the appropriate ticket category.

3.1.1 Group Tickets for Insurers/Reinsurers

Group Tickets are available for the Bankers/Regulators/Merchants category and include 3 or 5 individual tickets depending on the size of the group.

3.3 Ticket Refunds
  • Tickets are fully refundable (excluding processing fees) if requested within 30 days of purchase and at least 1 month before the Event. Tickets purchased less than 30 days before the Event are non-refundable.

  • Refunds will be processed using the same payment method as the original purchase. For tickets purchased using card payment, the refund will be issued to the same card. Please allow up to 14 working days for the refund to be processed.

3.4 Ticket Transfers
  • Tickets are transferable under certain conditions. The transfer is possible if the person the ticket is transferred to meets the following conditions:

    •   Is employed by the same company, OR

    •   Is employed by a company of the same category AND

    •   Is on the same seniority level as the ticket owner or higher.

  • If the transfer conditions are met, please notify us of the transfer by sending an email to info@inscee.eu.

3.5 Ticket Benefits

All ticket categories include the following benefits:

  • Access to the event platform

  • Access to all sessions

  • Access to the exhibition area

  • Access to the Gala Dinner & Cocktail Reception

  • Inclusion in the attendee list

4. Exhibitors Terms

4.1 Sponsorship Packages and Benefits
4.1.1 Sponsorship Packages

The Organizer offers a range of sponsorship packages to exhibitors, each providing unique benefits and opportunities. Detailed information regarding the available sponsorship packages, along with their specific benefits, can be found on the Event website or provided upon request.

4.1.2 Agreement Terms

The specific benefits and entitlements associated with each sponsorship package are subject to the terms outlined in the sponsorship agreement between the exhibitor and the Organizer. Exhibitors are advised to review the sponsorship agreement carefully before committing to a specific package.

4.2 Exhibitor Requirements and Obligations
4.2.1 Information Submission

Exhibitors are required to provide accurate and complete information as requested by the Organizer for their participation in the Event. This includes company details, contact information, and any promotional materials necessary for their exhibition.

4.2.2 Compliance with Laws

Exhibitors must comply with all applicable laws, regulations, and requirements related to their participation in the Event. It is the exhibitor's responsibility to ensure that their activities and materials align with legal and ethical standards.

4.2.3 Professional Conduct

Exhibitors are expected to conduct themselves in a professional manner throughout the Event. Any behavior that disrupts or inconveniences other attendees or exhibitors is strictly prohibited.

4.3 Payment Terms and Cancellations
4.3.1 Payment Obligations

Payment for sponsorship packages or exhibitor booths is required according to the terms specified in the sponsorship agreement or invoice provided by the Organizer. Exhibitors are responsible for fulfilling their payment obligations within the designated timeframe.

4.3.2 Cancellation Policy

Should an exhibitor wish to cancel their participation, written notification must be provided to the Organizer within the cancellation period specified in the sponsorship agreement. Exhibitors are advised that cancellations made after the specified deadline may result in cancellation fees or forfeiture of payment.

4.3.3 Refunds and Credits

The Organizer reserves the right to determine the eligibility for refunds or credits in the event of cancellations. Refunds or credits, if granted, will be processed in accordance with the terms outlined in the sponsorship agreement. Alternatively, the exhibitor may opt to have the paid amount credited towards the next scheduled event organized by the Organizer.

4.4 Booth Setup and Dismantling
4.4.1 Setup Guidelines

Exhibitors are required to adhere to the setup and dismantling schedule provided by the Organizer. Detailed instructions and guidelines for booth setup will be communicated to exhibitors prior to the Event.

4.4.2 Safety and Compliance

Exhibitors must ensure that their booth setup complies with all safety regulations and guidelines specified by the Organizer. This includes but is not limited to fire safety, electrical safety, and structural integrity.

4.4.3 Staffing Requirements

Exhibitors are responsible for ensuring that their booth is staffed during the designated exhibition hours as outlined by the Organizer. A sufficient number of representatives should be present to engage with attendees and manage the booth effectively.

4.4.4 Dismantling Procedures

Exhibitors are not permitted to dismantle their booth or remove any materials until the designated dismantling time specified by the Organizer. This allows for a smooth conclusion of the Event and ensures a professional environment for all attendees.

4.5 Liability and Insurance
4.5.1 Property and Material Responsibility

Exhibitors are solely responsible for the security and well-being of their own property and materials at the Event. The Organizer shall not be liable for any loss, damage, or theft incurred by exhibitor's property or materials.

4.5.2 Insurance Coverage

Exhibitors are strongly encouraged to obtain adequate insurance coverage to protect.

This is the Privacy Statement of CONNECTIVA s.r.o (“Connectiva”, “we”, “us” and “our”), and it applies to us if we process Personal Data that belongs to individuals (“you”). 1. PURPOSE

We respect your privacy and protect your personal data. The objective of this Privacy Statement is to explain to you, what personal data we collect, why and how we protect it, who share it with and how we respect your rights. This applies to you if you are:

Personal data means any information that identifies or can be linked to natural person for identification.

Personal data we collect about you includes:

  • your first and last name so that we know who you are

  • your email address, telephone, or mobile number so that we can contact you

  • Your title, company name, country and other details that you provide to us

  • Your payment information such as billing details so that we can issue an invoice

 

If you are a speaker, moderator, panel member or interviewee, in addition to above mentioned personal data, we will also collect:

  • Your image or video

  • Your resume, profile, or biography

  • Your company name and logo, unless agreed otherwise

 

Normally, we do not collect data relating to your health, ethnicity, religious or political beliefs, genetic or biometric data, or criminal records. However, for in-person events, when you choose to join us for a networking event, we may ask you for your dietary preferences to ensure that we serve you food that is aligned to your preferences.

Our websites and events are not for children. So, if you are below the age of 16, please do not use our website.


 

3. WHEN AND HOW DO WE COLLECT YOUR DATA?

We collect your personal data only when you provide your personal data. We collect your personal data when you provide it by visiting our website, meeting us in person, filling a form, signing a contract, calling us, emailing us, or messaging us (through any means including social media) with interest in our services.


We use the common advertising platforms such as LinkedIn Ads, Google AdWords, Facebook Ads, Twitter Ads to run ad or marketing campaigns, track conversions, and create campaign performance reports. We also use Google Analytics to have a better understanding of our audience and to be able to improve our services accordingly. These platforms allow us to reach to you based on their algorithms, but we receive your personal data only when you have made a choice to click on an advert and or submitted a form.

4. WHAT WE DO WITH YOUR PERSONAL DATA

We use your personal data for following legitimate purposes:
 

  • If you are an event attendee, we rely on your consent as part of registration for event. For this we will:

    • Send you emails to inform you about our events e.g., details on how to join, reminders, follow up for feedback.

    • Send emails with relevant insights and offers about our upcoming events.

    • Based on your consent, share your name, title, company name and contact details with our partners so that they can contact you.

    • List your name in event participants and or speaker list to improve the quality of networking. The list includes attendee’s full name, job title, company and country. This list may be online or printed based on event being online or live.

    • Give you the choice to join our community app. This provides participants with the tools for networking and making connections with other participants.
       

  • If you are a speaker, moderator, panel member or interviewee, we rely on your consent to be part of our event. In this case, all processing as applicable to an event attendee will apply. Additionally, we will:

    • Record the delivery of your presentation or interview

    • Photograph you for promoting our events
       

  • If you are a sponsor, we rely on our contractual obligations with you. For this we will:

    • contact your representative(s) via mail or phone

    • create, send and follow-on invoices or payments in line with the contract
       

  • As a legitimate interest of our company, we will:

    • Use your data to check if payments have been received in time or not. If payments are not received, we will contact you

    • Review and analyse the attendees and speakers at our events to understand the type of audiences that are attracted to our events
       

  • To comply with applicable laws, we will:

    • share all our invoices with our accountant

    • reporting to relevant authorities as per the applicable laws
       

  • When you consent, we will:

    • Answer your queries when you fill a form or contact us via email

    • Use your name, image, and a testimonial on our website. You can always contact us to remove these by sending us an email.

 

If you no longer wish to receive newsletters or promotional materials, you may opt-out by following the unsubscribe link placed in the footer of the promotional email or, if by post, by returning the letter to us with “unsubscribe” marked upon it, or you can simply contact info@connectiva-cee.com and ask to be unsubscribed.

5. HOW DO WE STORE AND PROTECT YOUR DATA?

We keep your data safe and protected i.e., we do not disclose this to others unless strictly necessary for performance and delivery of the service we provide you. And, when data is with us, the data stays in a password protected computer or software we use.

The personal data we hold is stored on cloud-based servers located in Czech Republic and Germany. We retain your personal data up to five years after such information is collected. If you wish, you can always unsubscribe from our emails or come back to us with a request to stop processing your personal data earlier.

 


6. WHO WE SHARE YOUR DATA WITH AND WHY?

To provide you with best-in-class experience at our events and conferences, we rely on providers that help us with specialised services. When doing so, we focus on sharing only the necessary data and we sign a contract with such providers.

To ensure that we deliver you the services in effective way, we share your personal data with following categories of third parties:

  • Provider of technical and operational support services like event hosting, website hosting and maintenance, email provisioning, calendars, payment processing, back-ups, customer relationship management, auto responders, signatures of documents etc.

  • Photographers and videographers as this is an expert skill and we want you to look good in pictures.

  • Law enforcement agencies and courts when it is necessary to do so, or we are obliged by laws to share such information.

 

When we work with companies, we work with reputable brands who respect your privacy in line with applicable laws. These third parties are contractually required to use it only to provide their service to us and prohibited from using it for their own purposes. The access to shared information is given only for the duration of the service being provided.

Sharing with Event Attendees and Partners:

Connectiva is an independent event services provider partnering with industry associations, solution providers and media. Connectiva reserves the right to share the following information with a Partner of the specific event you have registered for:

  • Full Name & Job Title

  • Company Name

  • Location/Country

  • Areas of Interest & Industry

  • Virtual Exhibition Booth Analytics

 

You can always see the list of Partners on the main website of a specific event you are registering for under the “Partners” section.

The Partner has right to process your data according to its own privacy policy.

7. YOUR DATA PROTECTION RIGHTS

Your privacy is important, and we respect your rights.
You have the following rights:

  1. Right to access i.e., get an overview of your personal data with us.

  2. Right to rectification i.e., get your personal data modified when necessary.

  3. Right to erasure i.e., delete your personal data is it is no longer necessary for purpose of processing. Remember, this is possible only when we do not have legal reason to keep your personal data.

  4. Right to restrict processing i.e., limit processing for specific reasons.

  5. Right to object to processing i.e., object to processing when you believe processing is unlawful or not necessary.

  6. Right to data portability i.e., have your data given to you or someone you choose.


We aim to respond to your request as quickly as possible and work resolve it in 30 calendar days. In some cases, we may deny your request. If we do so, we will let you know why we denied your request. To exercise your rights, please contact us via email.
